The Weekend Office Coordinator plays a key role in maintaining that culture by ensuring smooth office operations, assisting agents with their needs, and keeping everything running efficiently and professionally.

Job Summary
We are seeking a motivated and outgoing Weekend Office Coordinator to join our team. The work hours are Saturday 10am-2p and Sunday 10am-2pm. In this role, you will provide a variety of clerical and administrative support to our agents and employees, ensuring the office runs smoothly and efficiently. Your responsibilities will include answering phone calls and greeting visitors, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor. The

Responsibilities
  • Maintain relevant office procedures
  • Create and maintain an organized filing system
  • Prepare, print and bind various presentation booklets, binders, and application packets as needed
  • Review completed agent real estate transaction documents for completion
  • Assist agents with open house forms and assembling balloons
  • Greet and assist agents and clients as they arrive
  • Answer incoming phone calls and route them to the appropriate person, respond to voicemail
  • Write emails, memos, and letters and distribute them appropriately
  • Perform basic bookkeeping activities
  • Keep reception desk and conference rooms clean, organized, and presentable at all times
  • Contribute to company reports
  • Address and resolve client concerns with a professional attitude
  • Ensuring all printers are stocked with paper and ink
  • Prepare coffee, maintain and clean coffee station and cafe tables for staff and guests
  • Additional tasks as needed
Qualifications
  • High school diploma/GED required, Associates degree or administrative training is preferred
  • Previous experience as an Office Coordinator or in a similar position
  • Familiarity with standard office equipment such as printers and fax machines
  • Excellent computer skills and knowledge of Google Workspace, Microsoft Word, Outlook, and PowerPoint
  • Highly organized with excellent time management skills and the ability to prioritize projects
